Robert Half Customer Service Representative in Irvine, California

Description We are in search of a Customer Service Representative to join our team located in Irvine, California. In this role, you will be expected to deliver exceptional customer service by building strong rapport with our clients and subcontractors. You will handle a vast array of duties ranging from dispatching work orders, maintaining accurate customer records, to processing customer invoices. This role offers a contract to hire employment opportunity.

Responsibilities:

• Develop professional relationships with assigned account contacts and affiliate subcontractors, ensuring excellent customer service.

• Handle customer and affiliate communication effectively through telephone and email.

• Dispatch work orders according to customer expectations and track their status.

• Maintain a thorough record of open and closed work orders, including updating status notes in the system.

• Follow up on work orders to affiliates and customers for accurate and timely completion.

• Manage inspection purchase orders from the customers and dispatch them to affiliates promptly.

• Regularly review and submit proposals for additional repairs/services and to correct deficiencies.

• Ensure the timely submission of completed inspection reports, paperwork, and invoices from affiliates to National Accounts.

• Review and manage the exception management queue and mark-up queue daily.

• Accurately price the service and inspection calls before submitting to billing.

• Review all paperwork for completeness and accuracy before invoicing, and dispute any incorrect invoices from affiliates. Requirements • Proficiency in MS Word, MS Excel, and Microsoft Outlook

• Experience in a call center customer service environment

• Familiarity with data entry tasks

• Knowledge of customer invoicing processes

• Experience in dispatching tasks

• Familiarity with job scheduling tasks

• Ability to communicate effectively

• Strong problem-solving skills

• Excellent customer service and interpersonal skills

• Ability to work in a fast-paced environment

• High attention to detail and organizational skills

• Ability to handle multiple tasks simultaneously

• High school diploma or equivalent educational level

• Willingness to learn and adapt to new processes and systems.
