Description We are offering a long term contract employment opportunity for an Executive Assistant in Jersey City, New Jersey. The role primarily revolves around providing administrative and executive support to the Global Treasurer and the overall Treasury department in a fast-paced environment. This role is crucial in maintaining a high level of professionalism and confidentiality.
Responsibilities:
• Provide administrative support to the Global Treasurer, including scheduling meetings and arranging travel.
• Monitor the Global Treasurer's email inbox and highlight emails and documents requiring immediate attention and/or approval.
• Coordinate and manage the Global Treasurer's calendar, ensuring materials for meetings are available and accessible in advance of events.
• Handle the management of department level events, including scheduling and distributing agendas.
• Arrange both US and international travel and process related travel and expense accounts.
• Coordinate the scheduling and management of annual rating agency meetings.
• Assist in preparing for Quarterly Risk Finance Committee meetings.
• Communicate effectively with senior executives, their assistants, internal associates, and external clients.
• Maintain up-to-date Global Treasury department organization charts.
• Undertake special projects requiring a high degree of confidentiality and accuracy.
• Utilize Microsoft Office Suites, particularly Microsoft Excel, Word, and Outlook for various tasks.
• Utilize strong decision-making ability and attention to detail in all tasks. Requirements • Proficiency with Microsoft Office Suites including Excel, Word, Outlook, and PowerPoint.
• Experience with planning and scheduling, including calendar management.
• Ability to handle inbound calls in a professional and efficient manner.
• Experience with materials handling.
• Ability to review and analyze data, creating charts and graphs when necessary.
• Supervisory experience would be an advantage.
• Familiarity with 'About Time' software for time management.
• Basic understanding of finance, including quarterly financial notes.
• Ability to manage implementation of projects or strategies.
• Willingness to travel as required by the role.
• Excellent communication skills, both written and verbal.
• Strong time management skills.
• Experience in the real estate industry is a plus.
• Ability to maintain confidentiality, especially when dealing with C-Suite level information.
• Comfortable with conducting conference calls.
• Ability to manage multiple tasks and projects simultaneously.
