Robert Half Office Manager in La Quinta, California

Description We are looking for an Office Manager to join our team in the healthcare industry, specifically located in La Quinta, California. This role offers a contract to hire employment opportunity and involves the management of accounts payable bills, customer interactions, and administrative support.

Responsibilities

• Oversee the processing of Accounts Payable bills and generate payments

• Audit invoices for accurate pricing and receive products into inventory

• Post payments for various methods including credit card, internet, and cash, and reconcile report daily

• Manage aging accounts and follow up on overdue payments

• Serve as the primary liaison to customers and respond to routine phone and email inquiries

• Track shipping as per customer requests and handle all customer requests, inquiries, and related correspondence

• Process orders via multiple channels including internet, fax, email, and phone

• Enter sales orders, review products for availability and accuracy, generate invoices, and process credit card payments

• Oversee all invoicing and charges run within the office and monitor staff’s customer interactions

• Update monthly sales reports and various spreadsheets

• Provide word processing, filing, faxing, copying, and all administrative support for management

• Order office supplies and manage facilities requests

• Provide staff with priorities, instruction, and correction as needed to facilitate efficient processing of orders and customer correspondence. Requirements • Demonstrable experience in managing office operations within the healthcare or NHS sector.

• Proficient in handling accounts payable (AP) and accounts receivable (AR) processes.

• Experience in managing customer invoices and delivering superior customer service.

• Excellent communication skills, both verbal and written, with a focus on email correspondence.

• Ability to answer multi-line phone systems efficiently and professionally.

• Proven experience in entering and managing invoices.

• Familiarity with purchase orders and sales activity processes.

• Demonstrated ability to provide high-quality customer service in a fast-paced environment.

• Proficient in using office management software and technology.

• Strong organizational and multitasking skills.

• A proactive approach to problem-solving and the ability to make sound decisions.

• Ability to maintain confidentiality and act with discretion and integrity.

• Strong leadership skills with the ability to motivate and guide team members.

• Familiarity with healthcare industry regulations and standards.
