Robert Half Administrative Coordinator in Lancaster, South Carolina

Administrative Coordinator Monday to Thursday 8 am to 5 pm

Reporting Structure: This job position reports to the Housing Manager / Chief Executive Officer and aims to efficiently manage the property and its related operations.

Site-specific Responsibilities:

• Arranging schedules for all site-related inspections, including, but not limited to, pest control services and housekeeping.

• Regular evaluations of the property, tenant records, and past inspections to spot and manage recurring problems.

• Nurturing strong relationships with inhabitants and frequently visiting the property premises to keep in touch with residents' issues and community events.

• Skilled in managing security camera systems and monitoring neighbourhood activities to endorse policies and regulations.

• Capable of performing tasks in challenging conditions, including working in high foot traffic, noisy areas.

Administrative Responsibilities:

• Providing administrative support to the Chief Executive Officer and Housing Manager, when required, including services like lease enactment, utility allowances, managing maintenance charges, managing moves in and out, and yearly recertifications.

• Helping residents with rental arrears to settle the unpaid rents and initiating eviction proceedings when needed.

• Managing tenant documentation following the policies for income assessment, rent calculations, alterations, and recertifications.

Essential Skills:

• Strong communication and people skills to interact with a diverse set of people, including colleagues, service providers, local government officials, and residents.

• Proficiency in handling office operations, conforming with regulations, using required tools, and maintaining professional conduct.

• Capable of communicating ideas clearly, in both verbal and written formats.

• Confidence in using a computer, cameras, and interpreting data.

• Ability to manage professional relationships efficiently with colleagues, vendors, contractors, residents, and organizations at local to federal levels.

• Skilled in managing conflicting situations effectively.

Physical Requirement:

• Comfortable in accessing all units in the property.

• Capable of handling, lifting, and moving various objects within an office setup.

Qualifications and Experience: The applicant must have completed high school, preferably with courses in business or similar fields. 2-3 years of experience is required in an area related to business, public housing, or tax credit housing. An equivalent combination of education and expertise that meets the required knowledge and skills is also acceptable.

Requirements • Proficiency in Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience with 'About Time' management system

• Ability to handle correspondence professionally, efficiently, and accurately

• Experience in providing exceptional customer service

• Accurate and efficient data entry skills

• Knowledge and experience in Multifamily Housing and Supportive Housing

• Understanding of HUD (Housing and Urban Development) regulations and guidelines

• Ability to interact professionally and effectively with C-Suite executives

• Capable of managing and coordinating administrative tasks within a Housing Association industry
