Description We are offering a long-term contract employment opportunity for an Administrative Assistant in the industry of Business Logistics, based in LEXINGTON-FAYETTE, Kentucky. As an Administrative Assistant, your role will involve managing daily business logistics needs, processing customer applications, maintaining records, and answering customer inquiries. You will be a crucial point of contact for our customers, employees, partners, and vendors.
Responsibilities:
• Serve as the first line of contact for customers, employees, partners, and vendors, ensuring their needs are met and inquiries are directed appropriately.
• Process incoming and outgoing mail and documents, ensuring accuracy and efficiency.
• Perform data entry tasks and maintain accurate customer records.
• Handle customer service responsibilities, including answering inbound calls and responding to email correspondence.
• Utilize various Microsoft Office tools such as Excel, Outlook, PowerPoint, and Word to perform administrative tasks and manage customer records.
• Prepare departmental reports as needed and undertake special projects upon request.
• Assist in the operation of the Copy Center, ensuring all requests are processed in a professional manner.
• Manage the front desk/receptionist responsibilities, including greeting visitors, maintaining a secure front entry, and assisting staff with meeting room needs.
• Accept and log mortgage payments, following appropriate cash receipt security procedures.
• Collaborate with other departments as needed for tasks and projects assigned by the Business Logistics Administrator and Facilities Administrator. Requirements • Proficiency in answering inbound calls and handling both inbound and outbound calls efficiently
• Strong customer service skills and ability to resolve customer inquiries effectively
• Ability to perform data entry tasks with high accuracy and attention to detail
• Proficient in email correspondence, ensuring timely and effective communication
• Scheduling appointments and managing calendars efficiently
• Advanced proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word
• Strong organizational skills and ability to multitask
• Excellent verbal and written communication skills
• Ability to work collaboratively in a team environment
• Strong problem-solving skills and ability to think critically
• Proactive and able to take initiative when required.
