Robert Half Account Manager in Long Beach, California

Description We are offering a contract to hire employment opportunity for an organized and detail-oriented Administrative Assistant in Long Beach, California. In this role, you will be instrumental in supporting the operations of our service department, creating efficient workflows, and maintaining strong client relationships in a dynamic workplace environment.

Responsibilities:

• Tracking technician work orders and ensuring they are closed and ready for billing within a designated timeframe.

• Supporting purchasing and inventory management, including the transfer of parts to multiple sites and verifying correct charges on dispatched work orders.

• Creating and maintaining documented workflows for all service and purchasing processes.

• Assisting with the creation of the annual service department budget.

• Identifying jobs that do not meet profitability guidelines and addressing them with the service manager.

• Opening new clients, client sites, and jobs as required, and ensuring data lines are correctly set up for all new pieces of equipment.

• Managing contracts with outside suppliers as needed.

• Scheduling technician training and safety meetings, and assisting with certification testing for technicians.

• Handling all regulatory reporting requirements.

• Performing other administrative duties as requested by the service manager, including responding to and managing emails daily, and making necessary notes in the company CRM.

• Collaborating with the other members of the service department to provide overall department administrative support. Requirements • Minimum of 2 years experience in an Administrative Assistant role or similar

• Demonstrated skills in Administrative Assistance

• Proven experience in Operational Auditing

• Familiarity with Monthly Reporting processes

• Experience in Monthly Financial Reporting

• Knowledge and application of Operational Reporting

• General Reporting skills

• Proficient in maintaining and fostering Client Relations

• Excellent organizational and multitasking abilities

• Strong verbal and written communication skills

• Proficiency in Microsoft Office Suite and other administrative software

• Ability to work independently and as part of a team

• Strong problem-solving skills

• Attention to detail and accuracy in all work

• Ability to handle sensitive information with discretion

• High school diploma or equivalent, higher education or certification is a plus.
