Description We are in search of an Executive Assistant to join our team in the non-profit sector in Los Angeles, California. The Executive Assistant will play a crucial role in providing comprehensive support to our senior leadership, including managing calendars, coordinating meetings, and handling administrative tasks. This position offers a long-term contract employment opportunity.
Responsibilities:
• Manage and maintain the schedules of senior leadership, ensuring efficient time utilization
• Coordinate and organize meetings, including technology set-up, distributing materials, and managing logistics
• Provide general administrative support, including preparing correspondence, filing, and data entry
• Assist in invoicing processes and ensure all financial documents are accurately maintained
• Use communication skills to interact professionally with internal and external stakeholders
• Utilize various software including Microsoft Office, Docusign, and Adobe to perform tasks efficiently
• Coordinate and manage events, ensuring all details are handled from start to finish
• Leverage CRM system for customer relationship management and tracking
• Monitor and manage conference calls to ensure smooth communication
• Employ the Kronos Timekeeping System and About Time for accurate record keeping. Requirements • Proven experience in ADP - Financial Services
• Proficiency in using Cisco Webex Meetings for virtual communication
• Familiarity with Concur for expense management
• Demonstrated ability in using CRM for customer relationship management
• Experience with Kronos Timekeeping System for tracking employee time
• Knowledge of About Time software for project management
• Excellent calendar management skills to organize and schedule appointments
• Strong communication skills for interacting with staff, volunteers, and the public
• Experience with coordinating and managing conference calls
• Ability to handle correspondence professionally and promptly
• Experience in invoice entry, ensuring accurate financial records.
