A boutique financial services firm based in Century City is hiring an Jr. Executive Assistant to work on a hybrid basis (mostly remote). The ideal Executive Assistant will have previously worked at private equity fund or hedge fund. You will be responsible for many different tasks related to the operations of the business. You will log and file documents, liaise with counterparties, organize travel, data entry, manage database and client portal, manage email marketing and the company LinkedIn page, and maintain calendars. Additionally, this individual will organize reports and documents to ensure ease of access. This is a contract to hire position.

Job Title: Jr. Executive Assistant

Location: Century City, Beverly Hills (Hybrid - Mostly Remote)

Salary: $70,000 - $85,000 per year

Job Type: Full-Time

Key Responsibilities:

Schedule and coordinate meetings (Zoom and Teams).

File and manage documents.

Handle client relations and gifts.

Establish communications between financial counterparties

Assist in website rollout and marketing emails.

Proofread reports and marketing materials.

Prepare pitch books and financials.

Manage LinkedIn page and handle confidential information.

Communicate with clients and internal team members.

Help on any special projects

Qualifications:

Bachelor's degree in English or a related field.

1-5 years of experience, preferably in private equity or venture capital.

Excellent communication and proofreading skills.

Strong organizational and multitasking abilities.

Proficiency in Microsoft Office and virtual meeting platforms.

Positive attitude and ability to work independently.

Requirements • Previous experience as an Executive Assistant, or similar executive support role

• Knowledge and understanding of Wealth Management

• Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint

• Exceptional organizational skills and attention to detail

• Strong verbal and written communication skills

• Ability to prioritize tasks in a fast-paced environment

• Proven ability to handle confidential information with discretion

• Flexible and adaptable to meet the evolving needs of the executive team

• Bachelor's degree in Business, Administration, or related field preferred

• Proven track record of effective decision-making and problem-solving skills

• Ability to work independently and as part of a team

• Excellent time management skills with the ability to meet deadlines.
