Major responsibilities
Serve as primary contact for entry of spare parts orders
Audit purchase orders to ensure the proper discount has been applied and verify that all commercial terms and conditions, shipping terms, credits, and taxes are in accordance with company policies
Review code field accuracy for product categorization and sales identification
Process spare parts orders and have a firm knowledge of how the on-line systems function
Email and/or fax all order acknowledgements to customer
Expedite parts as needed and follow up with the Customer, Rep or Distributor
Provide shipping info for rush orders
Generate and manage spare parts sales quotes, updating them based on customer changes
Submit cost updates and item reactivation requests, reviewing the results for accuracy before submitting for sale price determination
Manage all areas of the spare parts requirement for assigned territory and provide feedback to the Customer
Follow up, review, and maintain credit card orders, held orders, ship complete orders, and late orders
Maintain and monitor order dates for a possible earlier shipment than promised
Serve as primary contact for all Customer Master updates, ensuring data integrity while verifying compliance with U.S. Denied Parties list
Generate and manage approved Return Material Authorizations (RMA) and issue credit at the end of the RMA process
Generate credit memos
Generate invoices for progress payments and shipment of spares from remote warehouses
Provide customer assistance including but not limited to:
Ensure spare parts compatibility for installed equipment
Review component drawings
Recommend spare parts
Suggest possible material substitutions
Compare previous installation data and create a revised spare parts lists to meet the more difficult demands for aged equipment
Serve as backup for Customer Service Representative(s) when out of the office
Work with Engineering and Purchasing to provide quotes and order fulfillment as it relates to pump retrofit to mechanical seal configuration
Update key personnel on pertinent information, such as current market trends and competitive developments and recommend improvements
Requirements
Strong communication skills, both verbally and in writing
2+ years' experience of proven performance in a goal-driven & customer-focused environment desired
Proven ability to navigate multiple computer systems, applications, and utilize search tools to find information
Customer service experience preferred
Well-founded grasp of Customer Support
Manufactured Products experience preferred
Proven knowledge of Phone Coverage
Administrative Assistance experience
Proficiency in customer service
Solid understanding of Assist Customers
Experience performing extensive research to resolve complex customer inquiries
Excellent customer service and office administrative skills
Ability to recognize, evaluate, and resolve problems effectively
- Solid understanding of Customer Relationship Management (CRM) systems, e.g. ACT!, Illustrator, Highrise, and Insightly
Ability to exude confidence, knowledge, and empathy when interacting with internal and external partners and clients/customers
Enthusiastic attitude and an engaging businesslike approach
Strong technical skills including proficiency with MS Office
