Job Title: Accounts Payable Specialist
Overview:
As an Accounts Payable (AP) Specialist, you will play a pivotal role in ensuring the seamless flow of financial transactions within the company. Your primary responsibilities will revolve around processing payments and store billings in strict adherence to the organization’s financial policies and procedures. You will be tasked with reviewing, organizing, and inputting invoices received through various channels, including the company’s Electronic Data Interchange (EDI) system. Collaborating closely with department heads, you will facilitate the authorization process for payments and resolve any discrepancies or issues that may arise. Your attention to detail and proficiency in handling large volumes of transactions will be essential in this role.
Key Responsibilities:
Invoice Processing: Review, assemble, and input all invoices received through the company’s EDI system, ensuring they meet the required authorization criteria before proceeding with payments and store billings. Additionally, manually process invoices as necessary to maintain accuracy and completeness.
Authorization Coordination: Collaborate with merchandising department heads to obtain approval and resolution for all credits, invoices under review, or rejected invoices, ensuring compliance with established procedures and resolving discrepancies promptly.
POD and Credit Tracking: Monitor Proof of Delivery (POD) and credit requests by store on a daily basis, maintaining accurate records and promptly addressing any outstanding issues or inquiries.
Store Credits Processing: Manually process store credits to stores, handling a significant volume of transactions efficiently and accurately, ensuring timely resolution and communication with relevant stakeholders.
Timely Communication: Process all store-requested POD and credits accurately and promptly communicate these credits to vendors, fostering positive vendor relationships and ensuring timely resolution of outstanding credits.
EDI Issue Resolution: Work directly with the IT Department to troubleshoot any Electronic Data Interchange (EDI) issues that may arise, ensuring the smooth operation of the invoicing and payment systems.
Requirements
Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Proven experience in accounts payable or related financial roles, with a strong understanding of accounting principles and procedures.
Proficiency in using EDI systems and other relevant software applications for invoice processing and financial management.
Exceptional attention to detail and accuracy, with the ability to handle high volumes of transactions efficiently.
Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external stakeholders.
Problem-solving skills and the ability to resolve issues promptly and independently.
Prior experience in retail or merchandising environments is a plus.
