Robert Half Sr. Administrative Assistant in Merced, California

Description We are looking for a diligent Sr. Administrative Assistant to join our team in Merced, California. This role will primarily involve supporting project management activities, managing and archiving project document libraries and records. The ideal candidate will have a keen eye for detail and excellent organizational skills.

Responsibilities:

• Develop and manage project start-up checklist and PM project start-up overview documents.

• Conduct daily audits of all project-related data and photographic evidence submitted by field staff and project managers via project-based database systems.

• Prepare and submit daily and/or weekly audit reports.

• Generate weekly data reports for Project Management team, including team performance metric reports.

• Log weekly man-hours by location and progress metric data in the progress report spreadsheet.

• Address issues affecting field team performance, including IT access and equipment issues.

• Support Project Management team in preparing and developing additional reports as needed.

• Assist in conducting IT support and training in the use of project equipment or data entry techniques.

• Develop job aids and other written and video how-to's for project staff.

• Support Project Management and Human Resources teams to onboard and train new staff in data entry, cybersecurity, and other project-related IT functions.

• Train staff on the use of mobile phone and laptops for project-related access to Sharepoint, email, voicemail, and other project-related activities.

• Create and maintain project document library on the Projects Sharepoint site.

• Regularly review the library to ensure PMs and field managers are uploading documents and data to the library as assigned.

• Support billing specialist and CFO in project budget and billing activities.

• Support equipment, fleet, and travel departments as needed.

• Support HR in onboarding project staff, creating project IDs, taking ID photos, etc.

• Review project text chain and alert field managers of deviations or missing staff check-ins.

• Support PMs and upper management in close-out activities and documentation, including the development and publication of the final project client reports, internal evaluation, and assessment reports, and the archiving of project data. Requirements

• Minimum of 2 years of experience in an administrative role

• Proficient in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience with Concur, About Time, and Canva software

• Familiarity with Adobe Acrobat and Adobe Photoshop

• Proven track record in Calendar Management and Correspondence

• Prior experience in C-Suite and Documentation tasks

• Knowledge of ADP for Payroll and Financial Services

• Strong Administrative Assistance skills

• Ability to handle confidential information with discretion

• Excellent verbal and written communication skills

• Exceptional organizational skills and attention to detail

• Ability to work independently and prioritize tasks effectively

• Proven ability to manage multiple projects simultaneously

• Strong problem-solving skills and ability to think critically

• Comfortable working in a fast-paced environment.
