Robert Half is seeking a highly organized and experienced Administrative Assistant to join a forward-thinking organization. This role is ideal for a detail-oriented individual who excels in a fast-paced environment and is eager to contribute to a dynamic team.
Key Responsibilities:
As the Administrative Assistant, your duties will include, but are not limited to:
Conference Room Coordination: Manage scheduling and setup for conference rooms, ensuring all necessary resources are ready for meetings.
Meeting Material Preparation: Assist in preparing materials for meetings, including creating presentations and compiling handouts to support effective discussions.
Office Administration: Perform general office tasks such as data entry, filing, scanning, and faxing documentation. Coordinate catering arrangements for meetings to enhance the experience for attendees.
Travel Logistics: Facilitate travel arrangements, including booking flights, rental cars, and hotel accommodations, ensuring a seamless travel experience for staff members.
Communication Drafting: Prepare a variety of communications, such as memos, emails, invoices, and reports, maintaining professionalism and clarity in all correspondence.
Document Writing and Editing: Write and edit documents ranging from letters to detailed reports and instructional materials, ensuring they meet high standards of accuracy and clarity.
Confidential Correspondence Handling: Prepare both confidential and non-confidential correspondence with meticulous attention to detail, ensuring proper formatting and presentation.
Requirements
To thrive in this role, candidates should possess the following qualifications:
Microsoft Office Proficiency: Intermediate knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is essential for daily operations.
Relevant Experience: A minimum of 2 years of experience in an administrative role, demonstrating your ability to effectively manage office responsibilities.
Typing and Data Entry Skills: Excellent typing and data entry skills with a strong emphasis on attention to detail for accurate documentation.
Detail-Oriented Mindset: A meticulous approach to tasks, ensuring that all work is completed accurately and to a high standard.
Bilingual Proficiency: Fluency in both English and Spanish is preferred, enabling effective communication with a diverse clientele.
