Robert Half Workplace Experience Coordinator in Miami, Florida

Description We are in search of a diligent Front Desk Coordinator for our location in Miami, FL. The role involves coordinating and providing administrative support for the delivery of Workplace Services, managing inventory supplies, utilizing work order systems, and maintaining strong relationships with vendors. This is an exciting opportunity to be part of a team that is committed to providing top-notch customer service and maintaining a detail oriented workplace environment.

Responsibilities

• Coordinating and providing administrative support for the delivery of Workplace Services. • Managing inventory supplies and maintaining the accuracy of databases and other digital tools associated with service delivery. • Utilizing work order systems and assisting with badging needs. • Providing concierge reception and switchboard conference meeting room services. • Offering administrative support for the Workplace Experience team as directed, including expense management, meeting coordination, office and workplace experience equipment care, and supply management. • Attending move meetings and coordinating all moves with client contacts. • Responding to customer requests and complaints regarding Workplace Experience services. • Maintaining relationships with vendors that provide services and goods to the office. • Ensuring all vendors used have current proof of insurance and contractual documentation in place as per requirements. • Processing customer credit applications accurately and efficiently, maintaining accurate customer credit records, and monitoring customer credit accounts to take appropriate actions to collect delinquent payments. Requirements

• Proven experience in Customer Service and Receptionist Duties • Proficient in Microsoft Office Suites • Excellent Communication Skills, both written and verbal • Capable of handling Database management and Documentation tasks • Experience with Insurance procedures and related tasks • Able to coordinate with Vendors, manage supplies and handle Check Processing • Familiarity with Digital tools and platforms • Experience in Facilities Management and Coordination of various tasks • Knowledge of Concierge Services is a plus • Understanding of Contractual obligations and ability to maintain relationships • Proficient in Switchboard Operations • Experience in Expense Management is desirable • Experience in Meeting Coordination and Supply Management • Familiarity with EO/IR systems and Service delivery • Ability to handle Complaints professionally and effectively • Must be able to perform all duties
