Robert Half Executive Assistant in Midland, Texas

Description We are looking for a dedicated Executive Assistant to join our team in Midland, Texas. In this role, you will be responsible for a range of administrative and secretarial functions to support our executive team. This role is a contract to hire employment opportunity that offers a chance to work in a dynamic environment and contribute to our team's success.

Responsibilities:

• Providing high-level administrative support, including conducting research, preparing statistical reports, and handling information requests.

• Performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

• Reading and analyzing incoming memos, emails, submissions, and reports to determine their significance and plan their distribution.

• Maintaining organized systems for processing paperwork for routine requests.

• Demonstrating excellent verbal and written communication skills, organizational skills, and interpersonal skills.

• Taking detailed minutes in meetings and quickly transcribing to distribute to key stakeholders.

• Researching and booking travel for the executive team and processing travel reimbursement claims.

• Working collaboratively with other Executive Assistants to assist in executive priorities that involve multiple reporting lines and organizational scale.

• Utilizing computer software programs such as Microsoft Office Suite, ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, and About Time.

• Managing calendars and coordinating conference calls.

• Handling general correspondence and promoting strong customer service skills. Requirements • Proficiency in ADP - Financial Services

• Experience with Cisco Webex Meetings

• Familiarity with Concur

• Proficient in CRM

• Knowledge of Kronos Timekeeping System and About Time

• Strong skills in Calendar Management

• Excellent Communication skills

• Experience in managing Conference Calls

• Ability to handle Correspondence effectively

• Prior experience as an Executive Assistant is preferred

• High level of professionalism and confidentiality

• Excellent organizational skills and attention to detail

• Ability to manage multiple tasks and projects with competing priorities and deadlines

• Strong problem-solving skills and decision-making ability

• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
