Description We are searching for a dynamic Sr. Executive Assistant to join our team. Located in Midland, Texas, this role offers a contract to hire employment opportunity. This position will require you to manage various administrative office functions while communicating effectively and maintaining confidentiality.
Responsibilities:
• Coordinate both internal and in-person meetings, ensuring all necessary materials are prepared and distributed in a timely manner.
• Facilitate virtual meetings, ensuring all participants can connect and participate effectively.
• Manage the office calendar, scheduling events and appointments to ensure smooth operations.
• Arrange travel itineraries for executives, including booking flights, accommodations, and managing any changes or cancellations.
• Support executives and their families, providing assistance as needed and maintaining a high level of confidentiality.
• Run office operations, ensuring all administrative processes are efficient and up to date.
• Utilize analytical instruments to monitor and report on office performance and efficiency.
• Distribute meeting minutes to relevant team members, ensuring all actions are followed up on.
• Process customer credit applications accurately and efficiently.
• Maintain accurate customer credit records. Requirements • Must hold a minimum of 3 years of experience as an Executive Assistant or in a similar role.
• Demonstrated ability to coordinate, facilitate and distribute minutes for various types of meetings including executive, internal, in-person, and virtual meetings.
• Proficiency in using analytical instruments to aid in decision-making processes.
• Experience with administrative office duties, managing office calendars, and coordinating office functions.
• Excellent skills in making travel arrangements, including experience within the travel industry.
• Must be able to handle travel logistics for executives.
• Strong organizational skills and the ability to multitask in a fast-paced environment.
• Excellent written and verbal communication skills.
• Proficiency in using Microsoft Office Suite and other relevant software.
• High level of discretion and confidentiality.
• Strong problem-solving skills and ability to work under pressure.
• Detail-oriented and able to work with minimal supervision.
• Ability to work in a team and build relationships with coworkers and external parties.
• Excellent time management skills.
• Strong customer service skills.
• Must have a proactive approach to tasks and the ability to anticipate needs.
• Ability to take initiative and demonstrate leadership skills when necessary.
