Major responsibilities

  • Recording meeting minutes and maintaining records of tasks and progress

  • Using online resources to research information

  • Managing the distribution of project information to key partners

  • Reviewing data, creating reports, proofreading and editing materials, and preparing presentations

  • Assist project teams by providing administrative, technical and clerical support

  • Planning travel and accommodation details for training seminars, conferences and additional project-related events

  • Requesting further information for documents that are deemed incomplete

  • Keeping project deliverable schedules on track and assisting Project Managers by organizing team meetings and communication according to project specifications


  • This position requires a high school diploma or its equivalent, though a BA/BS degree in business, communications, or related field is preferred

  • Highly skilled at database and file management

  • Past experience with the Microsoft Office Suite - Word, Excel, PowerPoint, and Outlook

  • Microsoft Project, JIRA, Mavenlink, and NetSuite experience is preferred

  • Demonstrated flexibility to adapt to changes in procedures

  • Attention to detail and ability to follow standard procedures is a requirement

  • Ability to multitask and attention to detail are critical

  • 1 year of business/office experience required

  • Microsoft Excel experience

  • Deep understanding of Administrative Assistance

  • Proven knowledge of Microsoft Word

  • Practical knowledge of Email Campaigns

  • Microsoft Outlook experience preferred

  • Well-founded grasp of Answering Multi-Line Phone System

  • navigating basic office equipment and protocols experience required

  • Basic Office Equipment experience

  • General familiarity with Mail Merge
