Robert Half Administrative Assistant in Mt Lebanon, Pennsylvania

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in the Energy/Natural Resources industry, located in MT LEBANON, Pennsylvania. As an Administrative Assistant, you will be responsible for processing customer orders and maintaining updated records. This role involves frequent interaction with plant personnel, outside sales teams, and customers, ensuring smooth operations in our workplace.

Responsibilities:

• Accurately process customer orders received through various channels including phone, email, and fax.

• Review and validate customer purchase orders for specifications, addresses, payment terms, and other relevant details.

• Regularly update data files with critical changes such as price modifications and product formula alterations.

• Enter orders into our customized legacy software, ensuring accuracy and efficiency (training will be provided).

• Maintain open communication with plant personnel regarding order statuses and shipment tracking.

• Collaborate with outside sales teams to address order-related issues and enhance customer satisfaction.

• Compile and maintain spreadsheets related to inside sales as needed.

• Draft, format, and type business communications, including customer bids, quotations, and purchase orders to vendors.

• Use phone contacts to support the outside sales team when required.

• Organize files related to the above duties and maintain an orderly record system.

• Execute other duties as directed to support the smooth functioning of our operations. Requirements • Proven experience in an administrative role within the Energy/Natural Resources industry

• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

• Experience in handling inbound and outbound calls

• Excellent customer service skills, with the ability to communicate effectively both verbally and in writing

• Strong data entry skills with a high level of accuracy and attention to detail

• Experience in managing email correspondence and scheduling appointments

• Ability to work independently and as part of a team

• High level of organizational skills and the ability to prioritize tasks effectively

• Exceptional problem-solving skills and the ability to make decisions under pressure

• Must have a professional and positive attitude towards work.
