Robert Half Administrative Coordinator in Nashua, New Hampshire

Description

Robert Half is seeking a highly organized and detail-oriented Administrative Coordinator to join a flourishing company located in Nashua, NH. As an Administrative Coordinator, you will play a crucial role in managing various administrative tasks and providing support in key areas such as accounts payable, invoicing, and inventory control. Your ability to interpret documents, perform calculations, and solve practical problems will be essential for success in this role.

Responsibilities:

Accounts Payable:

  • Process all payables and ensure timely payment of invoices.

  • Review invoices for accuracy of purchase price, extension, discount, etc.

  • Handle incoming Accounts Payable calls and respond to vendors promptly.

  • Read and interpret documents such as invoices, bills of lading, waybills, etc.

  • Calculate discounts, interest, percentages, and board measure accurately.

  • Solve practical problems and manage various concrete variables in situations with limited standardization.

Invoicing:

  • Compile and interpret data from purchase orders, mill invoices, bills of lading, and shipping advice to prepare customer invoices.

  • Perform high-volume data entry tasks.

  • Prepare accurate and timely customer invoices, including listing items sold, amounts due, credit terms, cash discounts, and ship dates.

  • Generate debit and credit memos for incorrectly billed items.

  • Review emailed customer invoices to confirm successful transmission.

  • Resolve discrepancies between purchase orders and invoices by.

  • Approve costs to be posted to accounts payable along with other transaction costs.

  • Compare final margin with estimated margin, investigate variances

  • Distribute margin between buyer and seller according to transaction type.

  • Perform calculations for figures such as discounts, interest, and board measurements.

  • Analyze and resolve problems involving multiple variables.

Inventory:

  • Coordinate incoming and outgoing orders designated as physical inventory.

  • Communicate with reload contacts regarding carloads and truckloads.

  • Process daily physical inventory and transload orders.

  • Prepare orders for invoicing and finalization.

  • Reconcile inventory detail costs to the general ledger on a weekly basis.

  • Reconcile inventory detail to the reload inventory count monthly.

  • Prepare debit/credit memos to reconcile, customer, or reload accounts as needed.

  • Post interest, storage charges, and other relevant expenses.

Qualifications:

  • Strong attention to detail and organizational skills.

  • Ability to read and interpret various documents related to accounts payable and invoicing.

  • Problem-solving abilities in situations with limited standardization.

  • Excellent communication skills to interact with vendors, traders, and internal stakeholders.
