Robert Half Administrative Assistant in New York, New York

Description We are offering a contract employment opportunity for an Administrative Assistant in New York. This role primarily revolves around managing and coordinating activities within our conference center. The successful candidate will be responsible for tasks such as room booking, scheduling, front desk operations, and email correspondence. Additionally, the role requires coordination with catering vendors and ensuring customer service excellence in all client-facing communications.

Responsibilities:

• Manage the booking and setup of conference rooms for meetings and events.

• Coordinate scheduling of meetings and events.

• Handle reception/front desk operations, ensuring smooth customer service.

• Manage email correspondence efficiently and professionally.

• Coordinate deliveries with catering vendors for events and meetings.

• Maintain client-facing communications, ensuring a high level of professionalism and service.

• Collaborate with the catering team to ensure timely and coordinated deliveries.

• Perform regular sweeps of conference rooms to maintain cleanliness and readiness.

• Assist guests with building entry and navigation.

• Set up conference rooms for meetings and events as needed.

• Utilize strong communication skills to provide excellent customer service.

• Utilize Microsoft Office Suite for various administrative tasks.

• Perform tasks related to receptionist duties as required. Requirements • Prior experience of at least 1 year in an Administrative Assistant role or similar position

• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

• Experience with answering inbound and outbound calls

• Strong customer service skills

• Ability to perform data entry tasks with high accuracy

• Experience with email correspondence and maintaining professional communication

• Ability to schedule appointments effectively and manage calendars

• Experience with catering and conference room setup and cleanup

• Strong scheduling and organizational skills

• Excellent written and verbal communication skills for client communications

• Familiarity with receptionist duties, including greeting visitors and answering phones

• High school diploma or equivalent educational qualification

• Ability to multitask and prioritize workload in a fast-paced environment

• Detail-oriented and able to maintain confidentiality

• Strong problem-solving skills and ability to work independently

• Excellent time management skills.
