Robert Half Executive Assistant in New York, New York

Description We are looking for an Executive Assistant to join our team in New York. This role is crucial in the non-profit industry, where you will be responsible for providing comprehensive administrative support to our ministry. This is a long-term contract role, offering the opportunity to work in a dynamic environment and contribute to our mission-driven initiatives.

Responsibilities:

• Handling all incoming calls and determining their priority, ensuring discretion and caution in information dissemination.

• Managing the email inbox of the Senior Minister, including prioritizing and crafting responses.

• Serving as the main point of contact between the Senior Minister’s office and all senior staff and lay leadership.

• Building relationships with staff across various teams and maintaining open lines of communication to ensure all parties are informed of changes.

• Providing administrative support, such as managing materials and generating memorandums and other correspondence that deal with confidential information requiring discretion and tact.

• Preparing background materials, reports and minutes for meetings.

• Managing an extensive and complex calendar for the Senior Minister in a fast-paced environment.

• Scheduling internal and external meetings, adjusting and prioritizing last-minute changes including logistics such as conference rooms, events, and catering.

• Learning the ministry and operations of the organization to fully understand how and why tasks satisfy the organization’s needs.

• Demonstrating problem-solving skills and thinking creatively to assist the team. Requirements • Minimum of 3 years experience in a similar role within the Non-Profit sector

• Proficiency in ADP - Financial Services

• Experience with Cisco Webex Meetings and Zoom for remote communication

• Familiarity with Concur for travel and expense management

• Knowledge of Customer Relationship Management (CRM) software

• Experience with Kronos Timekeeping System and About Time for time management

• Excellent calendar management skills

• Strong written and verbal communication skills

• Experience managing conference calls

• Ability to handle correspondence with professionalism and discretion

• Proficiency in MS PowerPoint and MS Office for document creation and management

• Must be able to work independently and as part of a team

• Willingness to perform other duties as required to support the executive team

• Must possess a high level of integrity and confidentiality.
