Robert Half Office Manager in New York, New York

Description We are offering a contract employment opportunity for an Office Manager role in New York, New York. The primary function of the role is to oversee all daily office operations and provide administrative support to ensure smooth functioning of the office environment and all office logistics. The industry is telecommunications.

Responsibilities:

• Act as the primary contact for visitors, employees, and guests

• Screen and distribute calls and correspondence and respond to routine inquiries

• Handle calendar management, travel arrangements, and prepare expense reports as needed

• Collaborate with Human Resources to manage new employee onboarding logistics, including desk setups, building access and seating charts

• Operate office equipment, including technology needs for video conferencing, webinars and conference calls

• Coordinate with technology and vendors to ensure all office equipment is fully operational and schedule repairs as needed

• Manage inventory and supply orders, filing and office organization, and other administrative duties as necessary

• Coordinate ordering and distribution of daily lunch orders for all office personnel

• Liaise with building management, office vendors, maintenance staff, and security as necessary

• Prepare correspondence, memos, schedules, forms, and reports as needed

• Work with administrative staff and outside vendors or business partners to coordinate meetings in internal or external offices

• Oversee all FedEx, UPS, and USPS activities

Skills:

• Proficiency in Accounting Software Systems, ADP - Financial Services, Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

• Knowledge of Accounting Functions, Accounts Payable (AP), Accounts Receivable (AR), Billing Functions, and Customer Service Requirements • Proficient in Accounting Software Systems

• Experience with ADP - Financial Services

• Advanced skills in Microsoft Excel

• Proficient in Microsoft Office Suites

• Proficient in Microsoft Outlook

• Ability to handle Accounting Functions

• Experience with Accounts Payable (AP)

• Experience with Accounts Receivable (AR)

• Able to manage Billing Functions

• Strong customer service skills
