Description

We are seeking an organized and detail-oriented Office Manager to join our team in New York on a Part time basis (25 hours per week). As an Office Manager, you will be responsible for a wide range of tasks including vendor management, office organization, and employee engagement. This position offers a long-term contract employment opportunity.

Responsibilities:

• Oversee and manage vendor relationships to ensure smooth operations

• Collaborate with building management for office access and maintenance

• Coordinate mail distribution for efficient communication

• Prepare and manage expense reports to track office expenditures

• Facilitate effective employee communication to foster a positive work environment

• Organize lunch orders and ad hoc events, including set up, clean up, and ordering food and beverages

• Utilize Google Suite and Slack for effective communication and task management

• Leverage your skills in Accounting Software Systems, ADP - Financial Services, and Concur to manage office finances

• Engage with various CRM and Dentrix Dental Software for customer relationship management

• Handle 'About Time', 'Accounting Functions', 'Accounts Payable (AP)', 'Accounts Receivable (AR)', and 'Answering Inbound Calls' tasks efficiently.

Requirements

• Must possess a minimum of 2 years of experience as an Office Manager or in a similar role

• Solid understanding of Accounting Functions, Accounts Payable (AP), and Accounts Receivable (AR) for financial management

• Comfortable with Answering Inbound Calls and managing communication with clients and vendors

• Proficient in using Google Suite and Slack for internal communication and collaboration

• Experience with Vendor Management to ensure smooth functioning of office operations

• Must be capable of managing Expense Reports and Employee Engagement activities

• Catering experience for organizing office events and meetings

• Must be able to work in a team environment, demonstrating excellent interpersonal and communication skills.
