Robert Half Office Manager in New York, New York

Description We are in search of a competent Office Manager to manage our operations in New York, New York. This position offers a contract to hire employment opportunity in the Accounting Software Systems industry. The successful candidate will be tasked with managing both administrative and accounting tasks, ensuring efficient and smooth daily operations.

Responsibilities

• Oversee and support all administrative duties in the office and ensure that the office is operating smoothly

• Manage office supplies inventory and place orders as necessary

• Perform receptionist duties: greet visitors, and answer and direct phone calls

• Utilize ADP - Financial Services for various financial operations

• Proficient use of Microsoft Office Suites and Microsoft Excel for data management and presentations

• Oversee the Accounts Payable (AP) and Accounts Receivable (AR) to ensure accurate and timely management of all accounts payable ledgers

• Manage accounting functions including maintenance of general ledger, accounts payable, accounts receivable, and project accounting

• Handle customer inquiries and complaints, providing excellent customer service

• Organize meetings, including scheduling, sending reminders, and organizing catering when necessary

• Manage staff calendars and arrange new meetings and appointments. Requirements • Minimum of 5 years of experience in an office management role or similar position

• Proficiency in using Accounting Software Systems

• Familiarity with ADP - Financial Services

• Advanced skills in Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

• Comprehensive understanding of Accounting Functions

• Experience in managing Accounts Payable (AP) and Accounts Receivable (AR)

• Ability to handle Billing Functions effectively

• Strong Customer Service skills

• Experience in organizing meetings and managing calendars

• Ability to multitask, prioritize, and manage time efficiently

• Strong verbal and written communication skills

• Detail-oriented and excellent problem-solving skills

• Ability to work independently as well as part of a team.
