Description

We are offering a contract employment opportunity for a Receptionist in New York. This role involves handling department reservations and answering calls for multiple locations. You will also be involved in various administrative tasks within a team of four.

Responsibilities:

• Handle incoming calls, transferring them as necessary across locations including New York, Boston, DC, Chicago, and ATL.

• Manage department reservations efficiently.

• Perform internal transfers within the organization.

• Schedule and maintain conference room reservations.

• Order and confirm food for various meetings and events.

• Assist in covering the front desk when required.

• Use Microsoft Office to send emails and manage administrative tasks.

• Sort incoming mail and accept deliveries while maintaining phone lists.

• Handle sensitive and confidential documents with discretion.

• Communicate effectively with managers and clients regarding job or deadline issues.

• Participate in additional projects as assigned by the team lead.

Requirements • Proficient in answering inbound calls and effectively managing multi-line phone systems

• Familiarity with hiring processes and receptionist duties

• Ability to answer queries and assist with deliveries promptly

• Proficiency in Microsoft Office Suites for various administrative tasks

• Experience with reservation systems and managing conference rooms

• Understanding of REST API for seamless integration of different systems

• Comfortable with onsite duties and responsibilities

• Proficiency in using Zoom for scheduling and managing virtual meetings

• Excellent written communication skills for clear and concise correspondence

• Experience with switchboard operations and transferring calls as necessary

• Ability to sort incoming mail efficiently and accurately

• Familiarity with handling confidential documents with utmost discretion

• Understanding of banking operations as part of administrative duties

• Knowledge of employee perks and benefits, and ability to communicate these effectively.
