Description

We are offering an exciting opportunity for an Executive Assistant on Madison Ave in New York. This role will primarily involve providing administrative and executive support to the Global Treasurer and the overall Treasury department. You will be working in a dynamic and fast-paced environment, where you will be expected to handle a range of tasks with professionalism and confidentiality.

Responsibilities:

• Provide daily executive administrative support to Global Treasurer, including answering phones, drafting and responding to emails, scheduling meetings, managing the calendar, and arranging travel

• Monitor Global Treasurer's email inbox to highlight emails and documents that require immediate attention and/or approval

• Coordinate and manage Global Treasurer's calendar, prioritizing items as necessary, and ensuring materials for meetings are available and accessible in advance

• Report Global Treasurer's office/travel schedule to relevant parties on a weekly basis

• Manage department level events, including scheduling and, on occasion, distributing agendas for each in advance

• Arrange US/international travel and process related travel and expense accounts, ensuring Global Treasurer has the proper documents required for travel

• Coordinate scheduling and management of annual rating agency meetings

• Assist in preparing for Quarterly Risk Finance Committee meetings, including preparing the schedule for meeting dates/locations, providing staff with documents required to complete slide deck, and submitting slide deck for review and inclusion in Board Book

• Undertake special projects requiring a high degree of confidentiality and accuracy

• Communicate effectively with senior executives and their assistants, as well as internal associates and external clients

• Maintain up-to-date Global Treasury department organization charts

• Liaise with Real Estate on office space and other related items

• Assist Global Treasury department to address the need for interns and liaise with HR.

Requirements • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook

• Experience in handling and coordinating travel arrangements

• Excellent planning and scheduling skills, with the ability to manage calendars effectively

• Able to answer inbound calls professionally and provide assistance where necessary

• Strong knowledge of finance, with the ability to review and create financial notes

• Capable of supervising a team and implementing new strategies

• Proficient in handling materials and ensuring their proper storage

• Experience in real estate management would be beneficial

• Strong communication skills, both written and verbal

• Ability to maintain confidentiality of sensitive information

• Excellent time management skills, with the ability to prioritize tasks effectively

• Proficient in creating charts and graphs for data representation

• Able to coordinate and manage conference calls effectively

• Experience in providing workstation support to team members

• Proficient in documentation and review processes

• Ability to handle quarterly reviews and reports

• Familiarity with 'About Time' software is preferred

• Strong skills in managing and maintaining confidentiality.
