Our client is a dynamic organization dedicated to creating memorable experiences and fostering community engagement and they are seeking a Special Events Coordinator to join their team. They specialize in hospitality and organizing a wide range of special events that leave a lasting impression on attendees. From corporate functions to charity galas, they pride themselves on their attention to detail and commitment to excellence. As a leading events management company, they are seeking a talented and passionate Special Events Coordinator to join their team. As the Special Events Coordinator, you will play a crucial role in supporting the Sr Manager and Director in coordinating all aspects of events assigned to your role. You will be responsible for planning, communicating, and executing the events assigned to you with precision and attention to detail.

More specifically, you will:

  • Coordinate all aspects of the Limited Service events assigned, including stakeholder calls, contracting venues and activations, making payments, budget management, and attendee communications.

  • Manage and coordinate events generic email inboxes, ensuring timely follow-up with all requests for information within 24 hours of receipt.

  • Handle internal and customer event attendee registration, including uploading, registering, canceling, updating status, and reporting on attendees, as well as updating registration websites as required.

  • Submit and maintain event expenses and billing per the department's policy, ensuring accurate accounting procedures.

  • Assist with Full Service events workstreams as assigned.

  • Prepare and handle the contract approval process of external vendor contracts for services, utilizing standard service agreements, entertainment agreements, and speakers agreements.

  • Prepare RFPs utilizing standard RFP documents, outlining specific services required.

  • Create events communications and presentations for effective dissemination of information.

  • Submit requests and upload assets for all events branding requirements to different platforms.

  • Create post-event surveys and compile reports for comprehensive event evaluation.

  • Attend industry and internal meetings as requested, contributing insights and representing the organization professionally.



  • Bachelor's degree in Hospitality Management, Event Management, Marketing, Communications, or related field preferred.

  • Proven experience in event coordination or related roles, with a strong understanding of event planning processes.

  • Exceptional organizational and multitasking abilities, with a keen eye for detail and accuracy.

  • Excellent communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels.

  • Proficiency in Microsoft Office Suite, particularly PowerPoint and Excel.

  • Ability to work effectively under pressure and meet tight deadlines in a fast-paced environment.

  • Flexibility to attend industry and internal meetings as needed, potentially requiring occasional travel.
