Robert Half Special Projects & Events Coordinator in New York, New York

Description

We are offering a contract for a Special Projects & Events Coordinator role based in the Downtown Manhattan area. The role primarily involves handling special events, managing logistics, coordinating with various teams, and ensuring proper data management. This position is situated within the industry of financial services.

Responsibilities:

• Coordinate and manage key advancement events, including the New Parents’ Reception, donor stewardship and cultivation events, VIP Day for Grandparents and Special Friends, Alumni Reunion, and volunteer appreciation events.

• Handle logistics for the annual Auction Benefit.

• Support major school events, such as Commencement.

• Liaise with volunteers and serve as the primary contact for the Parents Association.

• Manage pre- and post-event activities, including preparing mailing lists, sending invitations, tracking attendance, sending acknowledgments, and reporting.

• Oversee auction item data management, including donation tracking and reporting.

• Collaborate with the Database Manager to process gifts and follow-up acknowledgments.

• Attend Advancement / Alumni Relations and other school events, becoming a visible and engaged community member.

• Serve as a team liaison within the school community.

• Undertake other responsibilities assigned by the Director of Advancement in support of Advancement goals.

• Utilize various tools and platforms like ADP - Financial Services, Banner Ads, Cisco Webex Meetings, Concur, CRM, About Time, and other communication and project management software

Requirements • Minimum of 1+ years of experience as a Special Projects & Events Coordinator or in a similar role.

• Proficiency in using ADP - Financial Services software for effective financial management.

• Experience in designing and implementing Banner Ads for promotional purposes.

• Familiarity with using Cisco Webex Meetings for coordinating and conducting virtual meetings.

• Proficiency in using Concur for travel and expense management.

• Experience with CRM systems for managing company's interactions with current and potential customers.

• Knowledge of About Time software for efficient project management.

• Experience in handling and answering inbound calls professionally and courteously.

• Familiarity with budget processes, including planning, tracking, and reporting.

• Experience in calendar management, including scheduling meetings, appointments, and events.

• Excellent communication skills, both written and verbal, for effective team collaboration and client interactions. TalentMatch®
