Robert Half Administrative Assistant in Newport News, Virginia

Description We are in search of an Administrative Assistant to join our team in Newport News, Virginia. In this role, you will be assisting our Tax department with various administrative tasks. This position offers a short term contract employment opportunity.

Responsibilities:

• Accurately retrieve data from information systems such as invoices, tax exemption certificates, business licenses, etc., to support government audits.

• Assist in maintaining the repository of commonly requested forms such as W-9 forms, business licenses, sales tax exemption certificates, etc.

• Respond to requests from customers and vendors for copies of tax documents.

• Perform general administrative duties and provide support for the tax department.

• Represent the company in a professional manner and abide by all policies, rules, and regulations of the company including safety guidelines.

• Support corporate programs, goals, and initiatives of the company.

• Handle manual uploading of certificates and data validation tasks.

• Follow established procedures and guidelines to provide timely and effective clerical support.

• Gather, compile, verify information, and enter it accurately into documents such as reports, presentations, or forms, and office systems such as SharePoint sites, databases, billing software, or spreadsheets.

• Participate in associate meetings and communicate any concerns to management.

• Complete other administrative tasks as assigned. Requirements • Demonstrable experience in administrative or clerical duties

• Proficiency in Microsoft Office Suites including Excel, Word, PowerPoint, and Outlook

• Excellent customer service and communication skills

• Ability to handle confidential information with discretion

• Knowledge of company policies, procedures, and regulations

• Experience in managing databases and spreadsheets

• Familiarity with invoice processing and tax accounting

• Ability to perform clerical duties such as scanning documents

• Experience in creating presentations

• Knowledge of vendor management

• Proficiency in leading special projects

• Knowledge of safety guidelines and regulations

• Excellent phone etiquette

• Ability to adhere to tax regulations and perform sales tax calculations.
