Robert Half Administrative Assistant in Newton, Massachusetts

Description

We are seeking an Administrative Assistant for a contract role in our Real Estate & Property industry based in Newton, Massachusetts. This role is primarily focused on providing administrative support to our front desk operations. The successful candidate will be responsible for handling inbound calls, assisting with mail and packages, and greeting guests.

Responsibilities:

• Answer and manage inbound calls to the office, ensuring queries are redirected as necessary.

• Assist with the handling and distribution of mail and packages within the office.

• Welcome visitors by greeting them, in person or on the telephone, and announcing them appropriately.

• Ensure the front desk area is kept tidy and presentable with all necessary materials.

• Provide general administrative support to ensure efficient operation of the office.

• Maintain a professional and friendly demeanor at all times.

• Handle sensitive information in a confidential manner.

• Coordinate office procedures to ensure efficiency in all administrative tasks.

• Support the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency.

• Liaise with team members and management to handle requests and queries

Requirements • Prior experience in Real Estate & Property industry is highly desirable.

• Proficiency in answering inbound calls and providing client support.

• Experience in managing mailroom operations and maintaining records.

• Strong organizational skills with the ability to multitask.

• Excellent communication skills, both written and verbal.

• Proficient in Microsoft Office Suite and other common office software.

• Ability to work independently and as part of a team.

• Strong attention to detail and problem-solving skills.

• Ability to handle sensitive and confidential information with discretion.

• High school diploma or equivalent education level is required.

• Ability to adapt to changing work environments and schedules.

• Proactive attitude with the ability to take initiative.

• Demonstrated ability to meet deadlines in a fast-paced environment.

• Willingness to learn and grow within the role.
