Description
We are offering a contract to permanent employment opportunity for an Executive Assistant based in Norristown, Pennsylvania. This role is situated within the legal industry and will involve a local hybrid working arrangement, with onsite training provided. As an Executive Assistant, you will be tasked with a range of responsibilities, including handling sensitive information, managing calendars, and facilitating communication within the team.
Responsibilities:
• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
• Oversee the day-to-day administration of the office, including monitoring and replenishing office supplies as necessary.
• Handle sensitive information in a confidential manner to ensure privacy and compliance.
• Utilize various software including Microsoft Office Suite, Concur, and SharePoint to perform tasks efficiently.
• Assist in preparing and editing correspondence, communications, presentations, and other documents.
• Manage and maintain executives' schedules, appointments, and travel arrangements.
• Arrange and coordinate meetings and events, including setting up conference calls and taking minutes.
• Record, transcribe, and distribute minutes of meetings.
• Monitor, screen, respond to and distribute incoming communications.
• Interact with external clients and stakeholders, representing the executive office.
Requirements
• Proven experience in a similar role, preferably within the legal industry
• Proficiency in ADP - Financial Services
• Skilled in using Cisco Webex Meetings for virtual collaboration
• Experience with Concur for travel and expense management
• Familiarity with Customer Relationship Management (CRM) systems
• Knowledge of Kronos Timekeeping System and About Time software
• Excellent calendar management skills, with the ability to coordinate complex executive meetings
• Strong communication skills, both written and verbal
• Ability to handle and coordinate conference calls effectively
• Experience in drafting and managing correspondence.
