Robert Half Administrative Assistant in Oakland, California


We are partnering with a well-established engineering firm to hire an Administrative Assistant with strong writing skills.

The ideal candidate is collaborative, highly organized, detail-oriented, and skilled in Microsoft Office. This is an onsite role in a fast-paced and deadline-oriented environment.

Administrative support includes the following tasks as requested:

Front desk responsibilities. Answer phone, greet visitors, receive and prepare shipments/mail, schedule conference room usage, manage parking validations, etc.

Maintain, organize, and prepare office common areas including kitchen, production room, and conference rooms for daily use.

Coordinate and assist technical staff with meetings, events, presentations, internal training sessions, client seminars, etc. Includes setup and breakdown of furniture as needed.

Manage lunch talk signups, update attendance, and order lunches.

Proofread and edit documents to company standards

IT Contact: Work with our IT department to troubleshoot issues with conference rooms and staff workstations, receive and set up equipment, and track IT inventory.

HR Support: Assist with new hire onboarding, including setting up staff workstations and acting as orientation ambassador.

As needed, may assist in:

Support technical staff licenses. Complete applications for new licenses and license renewals, update database with license information, monitor license renewal dates, and track continuing education credits.

Coordinate travel arrangements for staff, working in Concur and with our corporate travel partners

Process expense reports for technical staff.



3+ years of administrative support experience in a fast-paced work environment.

Excellent technical skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and proofreading.

Technical document preparation experience preferred (legal or civil engineering industry).
