Robert Half Contracts Administrator in Oakland, California

Description

Our client, a leading non-profit organization renowned for its innovative approach to high school education, is currently seeking an experienced Contract Administrator to join their dedicated team on a long term contract basis. The Contracts Administrator will report to the Chief Legal Officer. This role will be responsible for tracking and reporting on contract information and ensuring the smooth and efficient functioning of the legal team and resources. This role will act as a bridge between the Legal, Operations, and Finance teams and will support various teams with critical initiatives.This position requires strong proficiency in project management, strong communication and organizational skills, technical legal platform aptitude, attention to detail, and experience supporting legal and/or nonprofit organizations. The position will be based in Oakland, CA on a hybrid basis with 4 days/week onsite.

Key Responsibilities:

Contract Administration (70%)

  • Oversee A-Z contract administration through Ironclad: ensure matters are entered accurately, shepherd agreements through execution, coordinate reviews, track, and report on contract statuses, compile relevant documents such as programmatic exhibits and SOWs, and process electronic signatures via DocuSign.

  • Monitor, review, and report on contract renewals and terminations.

  • Track, extract, and compile reports for various departments like legal, finance, and operations.

  • Manage legal records and archives, ensuring proper organization of contracts such as vendor agreements, grants, and other commercial agreements.

  • Serve as the point of contact on questions related to agreement workflows, status, and Ironclad.

  • Update and code records for counterparty live interaction.

  • Identify and recommend improvements to contract processes and legal system workflows.

Legal Operations/Administration (20%)

  • Support CLO and leadership with day-to-day agendas, meetings, and monitor the legal inbox.

  • Manage and drive legal training initiatives, including leading training sessions on updated contracting processes, guides, and tools.

  • Assist with special projects such as organizational excellence initiatives, AI/OSS guidelines, and state regulatory review.

  • Coordinate with Operations/IT as the legal team representative for key technology tools and systems, including Salesforce, Airtable, and Ironclad.

Records Management (10%)

  • Oversee the organization and maintenance of all contracts and contract correspondences.

  • Optimize records folders and update records from archive to current system.

  • Organize and maintain records for all contracts and contract correspondence to Ironclad and Box records.

  • Respond to requests for contract records (Finance, Legal, Ops, and PMs).

  • Prepare records binders as requested by Legal/Ops.

    Requirements

Qualifications/Skills

  • 4+ years of experience with legal contracts management, legal operations, or legal project/case management.

  • Prior experience with Ironclad, Salesforce, Airtable, Microsoft Office & Google Suite is highly desired.

  • Agile, accurate, resourceful, and responsive.

  • Excellent project management skills.

  • Detail-oriented, curious, and analytical thinker.

  • Strong administrative organization skills.

  • Familiarity with legal agreements, commercial vendor contracts, and grant agreements is a plus.

  • Clear, concise communication, presentation, and collaboration skills.

  • Self-motivated with the ability to set long-term and day-to-day priorities and manage multiple competing tasks efficiently.

  • Comfortable working with flexibility in an agile, customer-service-oriented environment.

  • Discreet and familiar with navigating legally sensitive or confidential matters.

  • Paralegal experience is a plus.
