Description
We are offering a contract employment opportunity for a Facilities Coordinator located in Oakland, California. This role is crucial in ensuring the smooth operations of our office building. You will play a key role in overseeing building maintenance, implementing safety procedures, and managing vendor relationships.
Responsibilities:
• Oversee the daily operations of the Oakland office building to ensure a smooth workflow
• Assist in the development and communication of workplace safety policies and procedures
• Ensure proper implementation and regular testing of security and emergency preparedness policies
• Schedule and execute safety-related employee training and drills
• Maintain the cleanliness, safety, and security of the facility in accordance with company policies
• Solve any issues impacting the building operations or its occupants
• Oversee the maintenance of the building and grounds
• Conduct regular and ad hoc facilities inspections and report findings
• Negotiate, manage, and ensure compliance with all service vendor contracts for the facility
• Develop and manage routine preventative and maintenance schedules for all systems in the building
• Monitor and confirm the timely completion of all services and tasks for the facility
• Handle general accounting tasks for the facility, such as accounts payable and budgeting
• Manage the process for tracking employee key issuance and usage
• Maintain good relations with security providers and monitor their performance
• Assist in evaluating, testing, and implementing existing and new security measures
• Plan and execute timely responses to service outages and other problems
• Monitor building systems and respond immediately to security or system issues
• Evaluate systems used in operations annually and help select products to maintain effective operations.
Requirements • Minimum of 5 years of experience in a facilities assistant or related role
• Proficiency in facilities management and coordination
• Demonstrated ability to manage vendor relationships effectively
• Experience with computer security incident response teams
• Familiarity with facility inspections and maintenance procedures
• Strong project management skills
• Proficiency in using facility management software and tools
• Excellent communication and interpersonal skills
• Ability to work independently and as part of a team
• Strong problem-solving skills and attention to detail
• Ability to manage multiple tasks and priorities in a fast-paced environment
• High school diploma or equivalent required; Bachelor's degree in a relevant field preferred
• Relevant certifications in facilities management or related fields will be an advantage
