Description We are offering an opportunity to join our Non-Profit organization based in Oakland, California, 94621, United States. The role is for an Administrative Assistant who will provide crucial support to our daily operations.

Responsibilities:

• Represent the organization professionally, including managing the reception area and directing visitors to the appropriate personnel. • Ensure safety in the reception area by monitoring the behavior of youth and guests. • Coordinate with security to ensure all visitors are properly signed in and attended to in a timely manner. • Assist in maintaining the cleanliness and readiness of communal spaces, including conference rooms and the kitchen. • Distribute incoming mail promptly and assist with routing of mail from partner agencies. • Undertake administrative tasks such as recording and distributing stipend payments, gift cards, and transit passes. • Provide program support, including managing workshop attendance, entering data into our database system, and tracking youth data. • Maintain strict confidentiality regarding sensitive data and information. • Assist with data entry for service requests and creation of new client files. • Coordinate the use of Chrome Laptops for youth with staff and instructors. • Maintain inventory of office and sanitary supplies and ensure supplies for youth are available. • Keep the front desk area organized and stocked, including refilling the printer/copier as needed. • Maintain a clean, tidy, and organized kitchen area. • Perform other duties as assigned.

• Familiarity with Asana for project management is necessary.

• Knowledge of Excel formulas and Microsoft Excel is essential.

• Strong command of Microsoft Excel is required.

• Experience in an administrative role within the Non-Profit sector is desirable.

• Excellent verbal and written communication skills.

• Ability to multitask and prioritize work effectively.

• Strong organizational skills and attention to detail.

• Ability to work independently and as part of a team.

• High level of discretion and confidentiality.

• Demonstrated problem-solving skills.
