Robert Half Executive Assistant in Oklahoma City, Oklahoma


The Executive Assistant will serve as a trusted partner to our executive team, providing administrative support, managing calendars, coordinating meetings and travel arrangements, and handling confidential information with discretion. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to anticipate the needs of our executives in a fast-paced environment.

Key Responsibilities:

  • Calendar Management: Coordinate and manage complex calendars for executives, including scheduling meetings, appointments, and conference calls, and proactively resolving scheduling conflicts.

  • Travel Coordination: Arrange domestic and international travel accommodations, including flights, hotel accommodations, transportation, and itineraries, ensuring efficiency and cost-effectiveness.

  • Meeting Coordination: Prepare meeting agendas, materials, and presentations, and facilitate smooth communication and coordination among meeting participants.

  • Communication Management: Screen and prioritize incoming calls, emails, and correspondence for executives, responding on their behalf when appropriate and ensuring timely follow-up on action items.

  • Administrative Support: Provide general administrative support to executives, including drafting correspondence, preparing expense reports, and maintaining filing systems and databases.

  • Project Assistance: Assist with special projects and initiatives as assigned by executives, coordinating with internal teams and external stakeholders as needed.

  • Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism, maintaining confidentiality at all times.

  • Relationship Building: Cultivate strong relationships with internal and external stakeholders, representing executives professionally and effectively in all interactions.



  • Bachelor's degree in Business Administration, Communications, or related field preferred.

  • Minimum of 3 years of experience as an executive assistant or similar role supporting C-level executives.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.

  • Excellent communication skills, both verbal and written, with the ability to interact professionally with executives, colleagues, and external contacts.

  • Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.

  • Discretion and confidentiality in handling sensitive information and matters.

  • Proactive mindset with the ability to anticipate needs and take initiative to address them.

  • Flexibility and adaptability to changing priorities and schedules.

  • Professional demeanor, positive attitude, and strong work ethic.
