The Operations Manager will lead a team of Client Associates supporting multiple divisions, ensuring that policies and procedures are fit for purpose, are executed effectively and efficiently, and serve the Company’s mission and objectives. Key Responsibilities

• Manages team of Client Associates, including day-to-day team management, performance reviews, performance management, and ongoing coaching.

• Ensures team members are equipped to execute efficient and compliant internal administrative operations to serve our clients with the highest level of excellence.

• Champions the continuous improvement of internal systems and processes to benefit the client and operations team.

• Coordinates with leadership to implement strategies, policies, and procedures management, including identifying and addressing problems and opportunities to support the mission and goals of the firm.

• Serves as the primary point of contact for operational requests, escalations, and guidance for complex client scenarios.

• Serves as the administrator for the firm’s primary custodians, ensuring accurate set-up and activities through process and permissions.

• Onboards new employees, including ensuring appropriate technology, platform and user permissions are appropriately established; Ensures initial and ongoing training schedules are established.

• Defines and monitors Key Performance Indicators (KPIs) for the Client Associates, including monitoring task completion, maintenance of all administrative activities, and client service standards.

• Supports the monthly and quarterly bill assessment for fee-based accounts, submit to custodians for processing, and produce reconciliation reports for Chief Compliance Officer

• Supports new Advisor/Firm Acquisition Transitions to ensure smooth onboarding and ongoing alignment with Avior’s operational policies and procedures.

• Supports and encourages the continued growth, learning, and accountability of the team.

• Builds and maintains effective relationships with the Wealth Advisors to ensure open feedback and information sharing.

• Additional duties may be assigned.

Requirements

Qualifications

• Bachelor's degree OR a minimum of 5 years' experience in a wealth management or like institution required, including team management.

• Experience with Charles Schwab, Fidelity, and/or LPL strongly preferred.

• Experience with Black Diamond and/or Salesforce a plus, but not required.

• Ability to problem solve and identify internal workflow efficiencies to benefit the client while maintaining strong focus on compliance with policies, procedures, rules and regulations.

• Is self-motivated and proactively identifies opportunities for continued improvement.

• Analyzes information and evaluates results to choose the best solution and solve problems.

• Adjusts quickly to different work situations and remains composed under pressure and in stressful situations.

• Ability to adapt to new technology and lead change management efforts.

• Completes tasks and assignments in a timely manner that meets defined goals/deadlines.

• Basic understanding of SEC laws/regulations.

• Strong organizational skills and ability to prioritize tasks to drive Operations forward.

• Excellent attention to detail, written and oral communication skills.
