Robert Half International Sales Assistant in Omaha, Nebraska

Receptionist Responsibilities:

  • Welcome visitors, answer questions, refer inquiries, greet, escort and announce for meetings.

  • Answering and manage main switch board incoming calls, direct calls to appropriate associates or voice mail boxes, answer questions professionally and confidentially.

  • Open incoming mail, sort, pull job files as needed, scan to Center desk as needed, distribute as needed.

  • Prepare outgoing mail, fold as needed, stuff envelopes, seal envelopes, apply postage and deliver to outside mailbox and occasionally to post office

  • AP invoices received via Email, pull job file, scan to Center desk as needed, distribute as needed.

  • Order and maintain adequate office supplies, including envelopes, printer cartridges, cleaning supplies, paper, coffee, coffee machine supplies, water dispenser bottles, and all other needed office supplies.

  • Order food and set up for company meetings.

  • Contact person for building utilities needing repairs or maintenance.

.Admin/Sales Assistant Responsibilities:

  • Receive job file information from salesmen, review and audit for needed information and documentation, work with sales to provide correct information and documentation.

  • Assist with the implementation and maintenance of main CRM software

  • Maintain Access data base and data entry of sales information as directed and needed by management

  • Create the hard file folder, labels and documents, for hard copy recordkeeping.

  • Data entry of job information into Access, Timberline, and Center desk.

  • Review Jobs for sales tax association and request necessary forms as needed.

  • Assist and or provide document(s) copies and or information for sales and admin staff as needed

  • Pull hard copy job files and distribute to accounting and sales personnel as needed for AP AR processing

  • Maintain employee phone and contact information for all offices, distribute revised contact information as needed.

  • Prepare and audit monthly Access reports for management

  • Create Access reports as needed for management review or sales information etc.

  • Collect all on going documentation pertaining to all job cost, service and Parts sales, billing, payables, miscellaneous information, for scanning and filing into Center desk and file in corresponding hard copy paper files.

  • Re-file all hard files pulled by Sales and Admin staff.

  • Annually purge all outdated hard copy files and move current files to accommodate the new year.

  • Create and maintain Rep files as needed


  • Excellent computer skills, good knowledge of excel, word, outlook, access

  • Switchboard experience

  • Excellent CRM knowledge

  • Excellent communication skills

  • Excellent customer service skills

  • Excellent common sense skills
