Description
We are seeking an Administrative Assistant to join our team located in the south metro, Minnesota area. This role offers a contract to hire employment opportunity, where the ideal candidate will be integral in ensuring smooth day-to-day operations, particularly in the areas of residential property management. Responsibilities:
Greeting prospects and current residents with a cheerful demeanor
Efficiently handling incoming phone calls and setting appointments for the Community Manager as required
Processing mail, including vendor invoices under the direction of the Community Manager
Assisting in coordinating maintenance and repair communications with tenants, owners, and vendors
Preparing resident correspondence as directed by the Community Manager
Assisting with the processing of home sales in collaboration with the Community Manager
Helping maintain and organize resident files as needed in line with the company's standard format
Assisting the Community Manager in planning and coordinating resident relations activities
Providing marketing support as directed by the Community Manager
Utilizing company software for various tasks
Demonstrating a willingness to learn and adapt to the needs of the position
Completing special projects as assigned
Requirements
Proficiency in Microsoft Excel and Microsoft Word
Experience in handling inbound and outbound calls
Strong customer service skills
Ability to perform data entry tasks with high accuracy
Experience in managing email correspondence effectively
Ability to schedule appointments and manage calendars
Familiarity with Yardi software is ideal
Proven experience in administrative assistance
Experience in performing receptionist duties
Knowledge of property management principles and practices is a plus
Strong organizational skills and attention to detail
Excellent communication skills, both verbal and written
Ability to multitask and prioritize tasks effectively
Must be able to maintain confidentiality and handle sensitive information with discretion
Proactive, self-motivated, and able to work independently
Professional and courteous demeanor
Strong problem-solving skills
Ability to work in a fast-paced environment
High school diploma or equivalent. Higher education or certifications in related fields would be considered a plus.
