Description
We are offering a short term contract employment opportunity for a Patient Admin Specialist (PAS) in Palo Alto, California. The primary function of this position is to coordinate and manage front office operations in an outpatient clinical setting. You will be expected to handle new patient coordination, surgery scheduling, and other administrative tasks related to the daily operations of the clinic.
Responsibilities:
• Oversee the check-in and check-out process for patients at the front desk.
• Accurately process internal forms and maintain information and paging directory databases.
• Respond to non-clinical patient messages and escalate them as appropriate.
• Coordinate with providers regarding scheduling preferences and urgent patient needs.
• Manage and distribute faxes, mail, and filing of clinic-specific documentation.
• Communicate effectively with patients, assisting them with initial questions regarding appointments, payments, schedules, etc.
• Utilize the telephone system and electronic medical records systems in performing assigned job tasks.
• Answer multi-line phone, screen, and route calls, taking messages for clinic staff and physicians.
• Ensure appropriate verifications and authorizations are complete before the patient sees the provider.
• Provide doctor-patient support using reference documents and tools.
• Exhibit excellent customer service skills, manage multiple priorities, and remain calm in stressful situations.
Requirements
• Exceptional customer service skills.
• Strong verbal and written communication abilities.
• Proficiency in documentation and record keeping.
• Experience with scheduling and managing appointments.
• Ability to handle payment processing efficiently.
• Knowledge of database management and operations.
• Familiarity with time management software such as 'About Time'.
• Proficiency in filing and organizing documents.
• Experience in clinical trial operations would be a plus.
• Knowledge of CRM systems is essential.
• Ability to perform verification tasks meticulously.
• Proficiency in using different operating systems.
• Experience with authorizations and permissions.
• Familiarity with different computer systems.
• Ability to distribute faxes efficiently.
• Experience in managing daily operations in a healthcare setting.
• Strong coordination skills.
• Experience with check-in procedures in a healthcare setting.
• Knowledge of medical terminology.
• Familiarity with phone systems, particularly multi-line phone systems.
• Experience with EMR - Electronic Medical Records is necessary.
• Ability to route incoming calls effectively.
• Experience in surgery scheduling would be advantageous.
