Description

We are offering a dynamic role for an Executive Assistant in Pasadena, California. In this role, you will be tasked with providing comprehensive administrative support. It involves managing executive calendars, coordinating and prioritizing incoming requests, and preparing reports and presentations. Responsibilities:

• Manage and organize executive calendars, including scheduling meetings, appointments, and travel arrangements

• Coordinate and prioritize incoming requests and scheduling conflicts

• Prepare and manage correspondence, reports, and presentations on behalf of executives

• Screen and direct phone calls and distribute correspondence

• Maintain an efficient filing system of paper and electronic documents

• Conduct research and prepare materials for meetings and presentations

• Handle confidential information with the utmost discretion

• Assist in planning company events, meetings, and employee team building activities

• Act as the point of contact between executives and internal/external clients

• Manage expense reports and reimbursement processes

• Utilize Microsoft Office Suites for various tasks including Microsoft Excel for data management and Microsoft Outlook for calendar management

• Handle correspondence and C-Suite level communication effectively.

Requirements • Minimum of 3 years of experience as an Executive Assistant or in a similar role

• Proficiency in Microsoft Office Suites including Excel and Outlook

• Experience with Calendar Management and scheduling appointments

• Ability to handle correspondence and communication with C-Suite executives

• Excellent organizational and multitasking skills

• Strong written and verbal communication abilities

• High level of discretion and confidentiality

• Ability to work independently and take initiative

• Bachelor's degree or equivalent experience in a related field preferred

• Proven problem-solving skills and attention to detail

• Ability to prioritize tasks and manage time effectively

• Professional demeanor and ability to interact with a variety of individuals

• Ability to adapt to changes in the work environment and manage competing demands.
