Description

Responsibilities include:

  • Leads or supports the creation and distribution of several reports each week, helping to keep projects on track for the team.

  • Researches new tools, technology and processes on behalf of the team

  • Maintain team calendars for staffing, time off and training

  • Schedules and maintains calendar of appointments, meeting, and travel itineraries, and participates in related arrangements for VP and a select few other leaders in the department.

  • Reserves conference rooms and arranges catering as necessary.

  • Operates word processing software and assists in developing, implementing, and monitoring internal business systems and procedures.

  • Completes and submits vouchers, expense reports; approves invoices for the department and tracks them against the overall budget.

  • Facilitates onboarding for new team members including procuring equipment, ID, etc. in a timely fashion and helping them acclimate to the team.

  • Assists with event planning and execution.

  • Acts as part of the communications crisis response team.

  • Practices safety-conscious behaviors in all operational processes and procedures.

    Requirements

What you need to succeed (minimum qualifications)

  • Must have advanced computer skills in Microsoft Outlook, Word, PowerPoint and Adobe

  • Must have the ability to communicate verbally and in writing with all levels of staff, from frontline employees to executive staff, and external contacts. Should have the necessary skills to effectively write business correspondence and work procedures.

  • Must have strong interpersonal skills.

  • A self-directed team player with an energetic can-do work attitude, initiative and professional presence.

  • Should have the communication skills necessary to communicate and direct the assignments and responsibilities of others as necessary.

  • Ability to anticipate the business needs and priorities of department leaders.

  • Should have a knowledge of corporate business processes and procedures such as travel, payroll, benefits, reimbursements, and expense reporting.

  • Must be able to apply attention to detail to ensure that information is accurate and correct, that documents are grammatically correct, and that work is completed in a timely manner.

  • Must have the ability to coordinate the schedules of multiple aspects of projects assigned by individual staff members or vendors.

  • Must have strong organizational/leadership skills to develop office procedures, prioritize and schedule work activities of self and others and balance multiple assignments with limited direction.

  • (If transferring internally) Must be performing satisfactorily in current position.

  • Some travel, night and/or weekend work is anticipated

  • Where permitted by applicable law, must have received or be willing to receive the COVID-19 vaccine by date of hire to be considered for U.S.-based job, if not currently employed by Delta Air Lines, Inc.

What will give you a competitive edge (preferred qualifications)

  • Proficiency in Excel is strongly preferred.

  • Knowledge of corporate business processes and procedures such as payroll, benefits, reimbursements and expense reporting, purchasing and departmental budget is preferred.
