Description
Robert Half is in search of a top-notch Executive Secretary to add some dynamism to our healthcare client based in the Philadelphia area. Be prepared for a role brimming with intricate scheduling, overseeing daily operations, and synchronizing various organizational activities. The ideal Executive Secretary will be successful if they have excellent verbal and written communication skills and the ability to perform multiple tasks within set deadlines.
Responsibilities:
Manage and coordinate complex scheduling of faculty in various labs and outpatient areas.
Maintain and update a comprehensive monthly calendar to reflect laboratory and outpatient responsibilities of each physician.
Regularly proofread, edit, and update the calendar to ensure accuracy before it is released to faculty and staff.
Track and maintain tallies for the total number of lab days for each physician and weekend/holiday coverage to optimize lab utilization.
Manage scheduling changes that occur after the calendar is distributed.
Utilize administrative management skills to coordinate, track, and distribute information in a timely fashion on a daily basis.
Utilize Concur and other administrative assistance skills for managing travel and accommodations for visiting professors.
Maintain accurate administrative records and perform other administrative tasks as needed.
Requirements
The ideal Executive Secretary candidate should have a Bachelor's degree or equivalent combination of education.
Other requirements for the Executive Secretary position include and are not limited to:
5+ years of Executive administrative support experience preferred
Health or education industry experience preferred
Experience with meeting management, travel arrangements, event planning, working with donors and managing funds required
Experience with Concur for expenses preferred
Excellent Microsoft Office Suite (Outlook, Word, Excel, Power- Point) skills and knowledge; and experience with databases and in-house publishing software.
Good writing, editing, and proofreading skills.
Knowledge of efficient office procedures and practices
