As a Payroll Specialist, you will play a crucial role in ensuring accurate and timely payroll processing for our employees. You will also set up users, process expense reports, and create data sets all while reviewing the organization's budget and other payroll and financial matters, ensuring compliance with company, union, and federal, state, and local regulations. As a Payroll Specialist Your Responsibilities will include but are not limited to:

  • Collaborate with HR to maintain accurate employee records, including new hires, terminations, and changes to pay rates or tax status.

  • Process end-to-end payroll for a designated group of employees, including data entry, calculations, and verification of timesheets, commissions, bonuses, and deductions.

  • Process expense reports and ensuring they are properly accounted for in the system.

  • Ensure compliance with federal, state, and local payroll regulations and tax laws.

  • Reconcile payroll discrepancies and resolve any issues in a timely manner.

  • Generate payroll reports and maintain organized payroll records for audit purposes.

  • Stay up to date with changes in payroll regulations and communicate updates to the team as necessary.

  • Respond to employee inquiries related to payroll, deductions, and benefits.

  • Assist in preparing payroll-related documents for internal and external audits.

  • Participate in process improvement initiatives to enhance payroll efficiency and accuracy.

  • Other duties as assigned.

Requirements

The ideal Payroll Specialist candidate will have:

  • Bachelor’s degree in Business or Accounting preferred.

  • 2 years’ payroll experience preferred.

  • Proven experience as a Payroll Specialist or in a similar payroll-focused role.

  • Proficiency in accounting functions is a must.

  • Knowledge of Accounts Payable (AP) and Accounts Receivable (AR) is necessary.

  • Understanding of 401k - RRSP Administration is crucial.

  • Proficiency in Accounting Software Systems is essential.

  • Proficiency in a Payroll Software, preferably ADP-Financial

  • services are required.

  • Knowledge of Kronos Timekeeping System is desirable.

  • Experience with About Time software will be beneficial.

  • Capable of managing high volume multi-state payroll, billing,

  • licensing, AP, etc.

  • Mastery of federal and state payroll regulations and requirements

  • Proficiency in Microsoft Office with strong Excel skills in particular

  • Strong analytical skills, accuracy, and attention to detail

  • Data entry, document management, file creation and previous records experience required.

  • Understanding of internal controls
