Description

We are in search of an Executive Assistant to provide administrative support to the CEO in the Brentwood, PA area. This role involves managing schedules, coordinating meetings, and maintaining effective communication channels within the organization. The position offers a contract to hire employment opportunity and plays an integral part in the smooth running of our operations.

Responsibilities

• I· Manages CEO calendar and independently schedules appointments and meetings ensuring all parties are informed of and kept abreast of schedule awareness.

· Records and transcribes meeting minutes for GBU’s National Board of Directors.

· Attends quarterly meetings of Board of Directors.

· Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges video conference calls using Microsoft Teams or Zoom.

· Meets and greets visitors in a courteous and professional manner.

· Reviews and responds to daily internal/external mail and overnight packages; prepares daily mail for CEO as needed.

· Coordinates travel arrangements; completes expense reports of the CEO and processes invoices ensuring that correct account codes are used and required signatures are obtained.

· Coordinates meetings including, but not limited to, preparing and distributing agendas and other meeting materials; reserving and preparing facilities.

· Composes, types, and distributes professional correspondence, memoranda, emails, using individual initiative and as assigned.

· Maintains highly organized filing system; files correspondence and other records.

· Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.

· Assists with special projects as assigned.

· Maintains and updates the society’s bylaws. Provide appropriate paperwork to GBU’s Compliance Department for filing to the state insurance departments.

· Coordinates Christmas mailing to past board members and officers, fraternal benefit societies, and vendors.

· Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.

· Attends meetings and other functions as needed.

Requirements

Associate degree (A.A.) or equivalent, minimum three (3) years’ related experience, or equivalent combination of education and experience.

• Excellent verbal and written communication skills.

• Keystroke a minimum of 50 wpm.

• Professional appearance and demeanor.

• Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

• Acute attention to detail.

• Commitment to excellence and high standards.

• Ability to work on complex projects with general direction and minimal guidance.

• Ability to deal effectively with a diversity of individuals at all organizational levels.

• Good judgement with the ability to make timely and sound decisions.
