Robert Half Executive Assistant in Pittsburgh, Pennsylvania

Description We are offering a contract to hire employment opportunity for an Executive Assistant in the transport industry, based in PITTSBURGH, Pennsylvania. The primary function of this role is to provide comprehensive support to the SVP of Human Resources. This includes scheduling, coordination of meetings, travel arrangements, and preparation of documents. You will act as a liaison between the SVP of HR and the rest of the organization, managing information flow in a timely and accurate manner.

Responsibilities:

• Provide comprehensive administrative support to the SVP of Human Resources including scheduling, coordination of meetings, and travel arrangements.

• Assist in preparing reports related to HR metrics and department performance.

• Act as a liaison between the SVP of HR and the rest of the organization, managing information flow in a timely and accurate manner.

• Assist in planning and execution of HR projects such as recruiting, training, benefits administration, etc.

• Prepare agendas and minutes for meetings.

• Manage confidential employee information and files.

• Handle any other tasks or projects as delegated by the SVP of HR.

• Use Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time, Calendar Management, Correspondence, C-Suite, Documentation, and Arranging Travel skills in the execution of duties. Requirements • Minimum of 5 years of experience working as an Executive Assistant, preferably in the Transport industry

• Proficiency in using Concur for travel and expense reporting

• Experience with CRM software for managing customer relationships

• Expertise in Microsoft Office Suites, including Excel and Outlook

• Familiarity with About Time software for time and attendance tracking

• Strong skills in calendar management and scheduling meetings

• Excellent written communication skills for correspondence and documentation

• Experience in liaising with C-Suite executives and managing their requirements

• Proficiency in arranging travel, including booking flights and accommodations

• Ability to multitask and prioritize tasks effectively in a fast-paced environment

• Strong organizational skills and attention to detail

• Excellent interpersonal skills and ability to work well in a team

• Proactive approach to problem-solving and decision making.
