Description

We are offering an exciting opportunity for an Administrative Assistant within the Real Estate Property/Facilities Management industry, based in Plainview, New York. The role focuses on servicing cooperatives, condominiums, and homeowner associations within the Asset Management Department. The successful candidate will provide customer service support to property managers, contribute to correspondence, manage and update spreadsheets, and prepare monthly meeting reports for Boards.

Responsibilities:

• Provide customer service support via telephone to property managers

• Type and manage correspondence related to the role

• Create, maintain, and update numerous spreadsheets relevant to the department's function

• Prepare monthly meeting reports for Boards

• Use Microsoft Word, Excel, and Outlook for day-to-day tasks

• Ensure high-quality communication for high-volume customer service calls

• Multitask and manage various duties simultaneously

• Handle scanning and general office duties

• Answer inbound calls and manage inbound/outbound calls efficiently

• Schedule appointments and manage email correspondence efficiently.

Requirements

• Strong ability in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Ability to handle inbound and outbound calls professionally

• Excellent customer service skills and experience

• Strong data entry abilities, ensuring accuracy and efficiency

• Ability to manage email correspondence effectively and professionally

• Experience in scheduling appointments and managing calendars

• Proactive and able to take initiative in administrative tasks

• Background in Real Estate Property/Facilities Management is advantageous

• Ability to work in a fast-paced environment and prioritize tasks

• Strong organizational skills and attention to detail

• Excellent communication and interpersonal skills

• Ability to maintain confidentiality and handle sensitive information.
