Robert Half is on the lookout for an ambitious and outgoing temporary to full-time Executive Assistant to directly support the VP of Human Resources and VP of Business Development of an established retail company in the Pearl District of Portland, Oregon. The main responsibilities of the Executive Assistant include providing administrative assistance, managing the calendars of the VP's, organizing meetings and events, answering the phone and greeting clients, and assisting with special projects. The ideal candidate will have prior experience supporting executive-level managers of a company. Main responsibilities:

  • Provide administrative assistance

  • Manage the day-to-day activities of the VP's by scheduling meetings, appointments, events, and travel accommodations

  • Maintain records and documents

  • Assist with special projects that may range from hosting a virtual event to researching information for new opportunities in the company

  • Greet clients as they arrive and offer them refreshments

  • Answer the phone, assist client with inquiries, take detailed notes, and route calls appropriately

  • Create, format, and edit reports and other correspondence from draft to client-ready stage

  • Assist with expense reports and other accounting needs

  • Provide support to other executives when needed

    Requirements

Requirements to be successful in this position:

  • Prior experience as an Executive Assistant supporting executive-level managers or C-Suite level

  • High school diploma required; some college preferred

  • Strong customer service, leadership, and interpersonal skills

  • Extensive knowledge with Microsoft Office

  • 4+ years working in a fast-paced office environment while providing support to a variety of managers

  • Excellent verbal and written communication skills; ability to actively listen and take accurate notes for manager to refer to

  • Knowledge of managing calendars and scheduling important meetings, trips, and events without supervision

  • Able to perform tasks independently and be flexible with consistently changing duties based on the needs of the company

  • Organized and detail-oriented

  • Passionate about being a support system and willing to provide assistance when needed
