Description

Robert Half is offering a role in a local government organization located in Portland, Oregon. This role is for a Senior Executive Assistant, where the primary function will be to provide comprehensive support to senior leadership. The position will involve managing schedules, coordinating meetings, and handling a variety of other administrative tasks. This role is a contract employment opportunity and will be primarily remote. However, applicants must be local to Portland, Oregon to be considered as reporting on-site as necessary will be a requirement.

Responsibilities:

• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments

• Oversee the day-to-day administration of the office, including answering phone calls, managing incoming and outgoing mail, and ordering supplies

• Prepare and edit correspondence, communications, presentations, and other documents

• Provide assistance with budget preparation and financial management, as well as tracking expenditures and processing expense forms

• Utilize various software, including Microsoft Office Suites, Microsoft Excel, Microsoft Outlook, Google Suite, for creating spreadsheets, reports, and other documents

• Manage and coordinate meetings, events, and other similar activities

• Ensure proper documentation and filing of organizational materials

• Assist with special projects and perform other duties as assigned

• Provide support to C-Suite executives, including managing their calendars and coordinating their daily activities

Requirements

• Must have a minimum of 5 years of experience in an Executive Assistant role, preferably within the Local Government sector

• Proficient in Microsoft Excel, Microsoft Office Suites and with Google Suite is required

• Experience with calendar management and scheduling for C-Suite executives

• Strong written and verbal communication skills for correspondence with various stakeholders

• Proven ability to manage documentation and records in a structured and systematic manner

• Must have experience in working with C-Suite members and understand the sensitive nature of the role

• Ability to prioritize tasks and manage time effectively

• Proven ability to handle confidential information with discretion

• Exceptional organizational skills and attention to detail
