Description
We are offering an exciting opportunity for an Executive Assistant in Richardson. As an Executive Assistant, you will provide critical support to the CEO. Your responsibilities will encompass a broad range of administrative tasks, including managing calendars, coordinating meetings, and maintaining office environments.
Responsibilities:
• Provide essential administrative support to C-suite executives
• Collaborate with and serve as a backup for the Sr. Executive Assistant
• Assist with tasks related to Board and Executive meetings, including scheduling, logistics, and materials distribution
• Coordinate both in-person and virtual events as requested by leadership, including team-building activities and business engagements
• Proactively manage high-volume calendars, anticipate scheduling conflicts, and arrange for rescheduling
• Arrange complicated international and domestic travel for multiple individuals or groups using Concur
• Prepare and reconcile expense reports for multiple individuals or groups, also through Concur
• Ensure the executive office environment is well-maintained, including supply stock, conference rooms, storage areas, and break areas
• Create, review, and refine various documents, including PowerPoint presentations, Word documents, and Excel worksheets
• Manage both digital and physical records and files, maintaining organized filing systems
• Carry out additional administrative duties as assigned.
Requirements • Candidate must possess a strong understanding and proficiency in Concur.
• Ability to effectively manage and process Expense Reports is required.
• Must be adept at booking travel arrangements as part of the role's responsibilities.
• Ability to coordinate meetings, including scheduling and logistics, is essential.
• Proficiency in Calendar Management, ensuring all appointments and deadlines are met, is required.
• Candidate must be skilled in using Microsoft PowerPoint to create, edit, and present presentations.
• Proficiency in Microsoft Word is required, including document creation, editing, and formatting.
