Robert Half Document Controller in Richmond, Virginia

Description We are in the market for a meticulous Document Controller to join our team in the Professional Services industry, based in Richmond, Virginia. This role involves managing the affidavit request processes, responding to clients' inquiries, and ensuring the smooth running of daily and weekly client operations. This role offers a contract to hire employment opportunity.

Responsibilities:

• Ensure affidavit request processes are running smoothly and efficiently.

• Proactively follow up with clients regarding inquiries.

• Guarantee the timely receipt of media from various sources.

• Assist in providing necessary documentation to clients and firms to facilitate legal processes.

• Respond promptly to firms' inquiries about media and affidavit issues.

• Process daily and weekly client runs, ensuring they are sent to the client within the required timeframe.

• Escalate procedure changes to management and update internal and external process documents as needed.

• Respond to client emails within 24 hours.

• Ensure attorney requests for client-signed documents are processed with clear instructions for correcting when needed.

• Utilize advanced knowledge of MS Excel, MS Word, and Microsoft Outlook to manage priorities and maintain a strong sense of urgency. Requirements • Must have a strong understanding and proficiency in MS Word, MS Excel, and Microsoft Outlook.

• Demonstrable experience in the field of Document Control within the Professional Services industry.

• Excellent attention to detail and high level of accuracy in all work.

• Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.

• Exceptional communication and interpersonal skills, with the ability to work effectively as part of a team and independently.

• Must have the ability to maintain confidentiality and handle sensitive information with discretion.

• Proven experience in managing and maintaining documentation systems.

• Ability to quickly learn and adapt to new software and technologies.

• Strong problem-solving skills with the ability to troubleshoot issues as they arise.

• High level of professionalism and ability to interact effectively with all levels of staff and management.

• Must have a proactive approach to work, with the ability to take initiative and work under minimal supervision.

• Strong written and verbal English language skills.

• Must have legal authorization to work in the location of the job.
